Using the Search by Form Dialog

  1. Select Folder > Advanced Search, or select the Advanced Search icon in the Search toolbar.
  2. If Document Search is set as your default search dialog, the Search by Form dialog opens.

If you do not have a default search dialog set, the Select Search Definition Dialog dialog opens first. Select Document Search and click OK to open the Search by Form dialog.

You can type your search criteria directly into the fields on the various tabs, or you can click the Format (...) button to the right of each field to open a dialog that lets you build a custom search expression using comparison operators.

  3. Select whether you want to search the entire datasource, or search in a particular work area or folder.
    • To search the entire datasource, make sure the Look in field in the Folder section is blank.
    • To limit the search to look in a particular folder or work area, click the Change button in the Folder section and select a folder or work area.
Tip: If you have a folder or work area selected and you open the Search by Form dialog by selecting Folder > Advanced Search, the dialog will be preset to search in the selected folder or work area.
  4. Set other search criteria as necessary (see the following procedures for details).
Note: Entering no criterion on any of the tabs in the Search by Form dialog will return a list of all documents in the datasource or selected folder or work area.
  5. Click Apply or OK to run the search.

Documents matching your search criteria display in the search results list.

When you click Apply, the Search by Form dialog remains open for you to change the search criteria and run another search if necessary.

When you click OK, the Search by Form dialog becomes the Document Properties dialog and displays properties of the first document found. In this instance of the Document Properties dialog you can click through and display the properties for each of the documents found in the search.
